Ocab on using Tendium

Background

“We saw completely new benefits and opportunities with Tendium.” – Andreas Kristoffersson, Bid Manager

Ocab is a market-leading provider of property damage restoration services in Sweden. The public sector market is significant, and they have a large bidding team with around 30 local sales representatives, site managers, and bid managers spread across 17 regions.

When their tender monitoring service contract was about to expire, Ocab decided to take a look at the competition. They wanted to see what alternatives were available on the market to streamline their bidding process.

  • Large team divided into 17 regions
  • Public sector a significant market

Challenges

Coordinating and overseeing a large team spread across 17 different geographical areas is not entirely straightforward. Ocab saw that efficiency of the bidding process could be improved, and that a modern project management tool could provide them with a better overview and coordination within the team.

The monitoring service they used lacked the ability to adapt to Ocab’s needs, and they were not willing to develop their service. In switching to Tendium, Ocab got a different experience.

  • Difficult to oversee the whole team’s work
  • Efficiency could be improved
  • Lacked tailored solutions

Solution

“We save time internally because with the automatic summaries of tender documents, we can immediately make a selection – is it a relevant tender opportunity or not” – Urban Noork, Bid Manager

Tendium’s automatic AI summaries of tender documents help Ocab save time. It applies both to the team’s tender monitoring and when other team members need to review the tender. Using the summaries, colleagues can get an overview of a tender in a few minutes, instead of reading (or not reading) 47 pages of documents.

Shared bid spaces have also helped the team keep track of how many bids they are working on at any given time. They now have a good overview and find it easier to coordinate as a team.

In Tendium, they found the flexibility with tailored solutions they were looking for.

  • Automatic AI summaries of tender documents have provided faster and more accurate Go/No Go decisions
  • Shared bid spaces have provided overview and coordination within the team
  • A solution tailored to the team’s needs

Results

“One of the biggest advantages is that we now have a structured way of working where we can follow the tenders throughout the entire process” – Andreas Kristoffersson, Bid Manager

Tendium has helped Ocab streamline their bidding and provided the entire team with a shared overview and process. Today, they are more organised than they were before.

They have gained a clearer overview of both the deals and volumes they are working on, and of their successful bids. They can easily see all regions’ won tenders and what that means in potential revenue increase.

Automatic summaries of tender documents have also reduced the time spent unnecessarily on irrelevant tenders and instead allowed them to focus on better opportunities.

  • Less wasted time on irrelevant tenders
  • A shared process for the entire team
  • Working in a more structured way
  • Better overview of all bids and opportunities
